    Qualification is usually described as a sales-conversation skill. In practice most of it happens before contact, on data. If a record fails the fit, trigger, reachability or legal test, no amount of talent in the call will rescue it.

    Gate 1 — Firmographic fit

    Sector, size, structure and geography. These are stable, verifiable fields and they eliminate the largest share of waste. Be explicit about exclusions too: holdings without operations, dormant entities and branch records that duplicate a headquarters.

    Score fit on a simple 0–2 scale per field and set a minimum total. A transparent score is easier to tune than a gut feeling and lets you compare segments later.

    Gate 2 — Trigger

    Fit says a company could buy; a trigger says it might buy now. Useful triggers include a new director or management appointment, a permit or licence, a move or new location, hiring in a relevant function, a funding round, and a property transaction.

    Triggers have a short half-life. A signal older than 90 days is context; a signal from the last 30 days is a reason to call this week.

    Gate 3 — Reachability

    A perfect prospect you cannot reach is not a prospect. Validate that you have a role-appropriate contact route: a functional mailbox, a switchboard with a named person, a verified postal address, or a decision-maker you can approach on a professional network.

    Track deliverability per source. Sources with bounce rates above a few percent should be quarantined rather than pushed through and blamed on the sequence.

    Gate 4 — Legal basis and appropriateness

    Under GDPR, B2B outreach commonly relies on legitimate interest, which requires relevance, proportionality and a working opt-out. Prefer role-based contacts over personal addresses, honour suppression lists across all channels, and keep the source and date for every record.

    The test is simple: if you could not comfortably tell the prospect exactly where their data came from and why you contacted them, do not send the message.
